Important news relating to TEAMS

by Oli King - 04 November 2021

HSG 248 and Sample Analysis

As you will be aware from previous news released, we have been redeveloping the Laboratory module to include the changes outlined in HSG 248 regarding sample analysis. We are now in a position where we will be able to take our clients through these changes to the system and apply them to our client’s system upon request.

We will be releasing a separate news article which specifically covers the new features on Monday 8th November.

Changes to Android and the TEAMS apps on Android devices

Google have recently amended their terms and conditions relating to what Google will and will not allow on their Google Play app store.

As a result, we have had to develop and implement changes to the way the TEAMS apps run, and the Data Transfer Service (DTS) operates. We will be in contact with our clients with further details in due course, but essentially, clients using Android devices will need to enter a specific code once for each tablet they are using. We will be contacting our clients individually and rolling this process out gradually, to ensure minimum disruption to our client’s day-to-day operations when using the TEAMS apps.

The TEAMS apps will continue to run and operate as normal, and no changes will need to be made. As and when changes need to be made, a member of the team will be in contact with you directly.

HSG 248 changes and your TEAMS system

by Oli King - 02 July 2021

Following on from our previous update regarding the changes to HSG248 guidance, and the changes being implemented to the TEAMS system to accommodate these,

We are currently compiling updates for the Laboratory module, with regards to sample analysis and sample QC which satisfy the HSG 248 criteria. We will be adding/amending the sample analysis screen within sections – Sample preparation and Fibre observations which will include areas set out within the new guidance.

We are aware of the NAD to be 2 points also but believe further consultation is taking place.

The QC system will be reworked completely. For routine analyses a minimum overall QC check of 5% of re-analyses on new samples should be maintained (i.e. the samples analysed up to the maximum number of 20 and 40),the 20% of samples analysed in excess of the requirements are in addition to the 5%.

It is important to note, that while TEAMS will be updated to reflect and support these new requirements, they will not be added to your TEAMS system unless we receive a request to do. Additionally, should any changes need to be made to your templates to accommodate these changes, these will only be applied upon request.

We are also updating our default question bank for the 4 Stage Clearance air monitoring job. We will be in contact with clients using default question bank directly, to see if they would like to have these questions added to their systems, and details of the questions to be added are as follow;

Stage 1:

The following questions will be added, and will show on the Stage 1 section of the tablet.

  • The question ‘Contractors conducted visual?’ will be added, and will have Yes or No as selectable answer options.
  • The current title of 'Asbestos contractor representative' will be renamed to 'Supervisor site representative'
  • The signature for the contractor representative (to be named the supervisor site representative) will be shown on the PDF report/certificate that is generated.

All of the above questions will also show on the reports/certificates that are generated in the Stage 1 section.

Stage 2:

The following questions will be added, and will show on the Stage 2 section of the tablet.

  • Any evidence of lock down spray - answer Yes/No
  • Original floor and surface uncovered? - answer Yes/No
  • Time estimated for visual – the analyst will be able to record the time
  • Total Time duration - the analyst will be able to record the time
  • Time variance- the analyst will be able to add comments to record the reason for the difference between the estimated time to complete the visual, and the actual time taken to complete the visual inspection.
  • Stage 2 Start Time - the analyst will be able to record the time
  • Stage 2 Finish Time - the analyst will be able to record the time

All of the above questions will also show on the reports/certificates that are generated in the Stage 2 section.

Stage 3:

The following questions will be added, and will show on Stage 3, or the Air Monitoring section of the tablet, where the results of the tests are recorded.

  • Number of tests required – analyst will be able to record a number
  • Is Area Dry? - answer Yes/No
  • NPU(s) off/sealed - answer Yes/No
  • The Area size can currently be recorded by the analyst in the ‘Floorplan Designer’ section, where the layout of the enclosure is drawn, as well as transit routes etc. The area details will be included in the Stage 3/Air Monitoring section of the report, along with the results of the tests carried out.
  • Area size – to be pulled form Floorplan Designer tool

All of the above questions will also show on the reports/certificates that are generated in the Stage 3/results of the tests that have been carried out.

It is important to note, that while TEAMS will be updated to reflect and support these new requirements, they will not be added to your TEAMS system unless we receive a request to do. Additionally, should any changes need to be made to your templates to accommodate these changes, these will only be applied upon request.

It is worth noting that the TEAMS Air app already supports the functionality for additional photo’s to be captured at each stage on the tablet. If you require this functionality, please get in touch, and we will be happy to enable it for your consultancy, and also updated the reports/certificates to show the additional photo’s captured if required.

If your consultancy has not already started, now is the time to be looking at your templates and internal processes to ensure the incoming changes are being met, and your consultancy continues to remain compliant, before the deadline for implementation comes into effect.

If you have any queries regarding the changes in guidance, and how these affect your report templates, please do not hesitate to get in touch.

HSG 248 changes and TEAMS

by Oli King - 07 June 2021

The HSE published updated guidance for HSG248 in May this year, and it has been updated to take into consideration interventions and developments in analytical procedures and methodology.

As a result, we are currently developing updates for the TEAMS system in line with additions outlined within the release of HSG248.

In preparation for the incoming changes, we have been carrying out a lot of background work within the TEAMS Air Monitoring app. Some of these updates have already been released and are available in TEAMS software already, such as including photo capture at each stage of a clearance and additional questions to be answered to cover items such as the active disturbance and estimated time to complete visual inspection.

Amongst other updates, we are now working on the Laboratory module, and, in particular the sample analysis functionality, to give users the changes outlined in the HSG248 guidance, within the QC system and sample preparation etc.

If your consultancy has not already started, now is the time to be looking at your templates and internal processes to ensure the incoming changes are being met, and your consultancy continues to remain compliant, before the deadline for implementation comes into effect.

Message to any remaining users of old Windows powered mobileTEAMS apps

by Oli King - 01 June 2021

Back in 2019, you will have received notifications from us stating that we were planning to upgrade our mobile apps to operate on newer Android and iOS tablets, and move away from the original Windows platform on site. Since this time, the vast majority of clients have moved across to newer Android/iOS tablets and new clients that have joined us since this time, obviously have been using Android and iOS devices from the beginning.

For all the clients above, please ignore this message.

For any clients still operating Windows powered tablets and laptops out onsite, unfortunately the time has come for these old tablets/laptops now to be retired. Technology in general as well as the tablet devices themselves have greatly moved on and the latest versions of the TEAMS family apps (surveying, air monitoring and legionella) all take advantage of this giving you increased speed, longer battery life, better connectivity and of course far superior cameras. As well as this, given the recent cyber-attacks across the globe, it is now more important than ever to move away from the older technology in order to help stay secure.

Based on this last point specifically, we have decided to block these older Windows tablets/laptops from running a DTS from this time on.

This decision was not taken lightly and as stated, notifications went out way back in 2019 saying that Windows tablets/laptops would be phased out. The time has arrived as the security risk is too great to allow them continue.

For tablets currently in use with data on them our team or your IT team can assist in getting the data back to the server so that the unit can be replaced with either Android or Apple units. Once the data has transferred, I would strongly advise replacing the old tablets immediately. Any 10″ tablet with android version 11 that has 4Gb ram 32Gb hard disk space will run TEAMS. Latest version of apple will also run it.

Please could you make the field staff aware along with senior management. If they have any issues, please call Mark McLaughlin on the 01935 411319, where Mark will do his best to take the call.

It’s Time to Switch to Asbestos 3.0

by Simon Wetherell - 07 April 2021

All of our clients have now been contacted regarding the new Asbestos 3.0 app, and that this is replacing the Surveying app.

Please note, this only affects the Surveying app. All other TEAMS apps are unaffected and can continue to be used as normal.

As of Tuesday 1st June, the Surveying app will be partially disabled, and no new jobs will be able to be downloaded to your tablet. Any existing jobs will still be able to be completed, and transferred back to the office, but no new jobs will transfer down onto the tablet. If your organisation has not switched over to the new Asbestos 3.0 app, now is the time to do so!

There will be no change to the functionality or layout of the App.  All TEAMS clients can continue to use the new Asbestos 3.0 App as normal.

Android users

The new app is available in the stores, and can be found by searching for ‘TEAMS Asbestos’ within the Google Play store. No codes are required, and the App can be downloaded straight away, and accessed in the normal way.

When logging into the new app, it will ask the surveyors for their mobile and system pins. If you are unsure of where these can be found, please contact a member of our Support team, and we will be happy to help.

Apple/iOS users

The Asbestos app will not appear in a normal search in the App Store, and a specific code is needed to download it.

If your organisation uses iPad's, please contact our Support team with the number of codes needed (1 code is needed per iPad) and we will send through the codes needed to download the Asbestos app.

When logging into the new app, it will ask the surveyors for their mobile and system pins. If you are unsure of where these can be found, please contact a member of our Support team, and we will be happy to help.

The reason we are asking our clients to begin using the Asbestos 3.0 app, is because we have been working hard on improving the performance under the hood of TEAMS, and have made underlying changes to the back-end system of the app, including performance, and many other improvements.

Once all of our clients have transitioned to TEAMS Asbestos 3.0, we will be removing the Surveying App from the app stores completely.

VAT Reverse Charge – TEAMS is ready

by Oli King - 18 February 2021

As you are aware, new rules will be coming into effect on 1st March this year regarding VAT, and is known as the VAT reverse charge.

We know that some of our clients will be affected by these rules, and we have measures in place already to support our clients when using TEAMS.

Before the March deadline, we will be adding additional quote and invoice type options to the TEAMS system. These will appear on your TEAMS system as drop down options, and you will just need to select the relevant quote or invoice type as normal. The quote or invoice can then be processed in exactly the same way as quotes and invoices are now.

TEAMS Enterprise: What are the benefits to your organisation?

by Oli King - 02 October 2020

The TEAMS portal has proved to be a very popular, and valuable tool for many end users to manage their asbestos electronically, but it is not practical to log into several different portals if you work with multiple consultancies. As a result the TEAMS Enterprise system was developed, allowing end users to access and maintain all of their asbestos data from multiple consultancies in one place.

But what benefits does the Enterprise system offer to organisations that work with multiple consultancies? The below will highlight some of the key features of the Enterprise system and how it can be an invaluable tool for your TEAMS suite.

Integration

TEAMS Enterprise is able to connect to any number of separate consultancy servers at one time. This allows for reports to be delivered to the Enterprise server as soon as the report has been approved by a consultancy.

Centrally stored, and accessible data

TEAMS Enterprise allows organisations to take ownership and control of their data, as all of the data from multiple consultancies, is stored in one place. This allows Enterprise users to open up access to their data to their own staff and contractors, but also to consultancies that are connected to the TEAMS network. This proves vital when updating sites via reinspection programmes or accepting new data for new surveys.

Access, update and share your own data

As Enterprise stores all asbestos data in one place, Enterprise users have the ability to update and maintain their asbestos records themselves. This also allows sites and data to be made available to multiple parties at the same time with each job effortlessly tracked to the original supplier.

Changes made by Enterprise users are fed back to the asbestos consultancy when a survey is next booked at the relevant site.

Initially the appointment is set-up by the consultancy and this instruction to survey is sent to the surveyor in the field. The surveyor performs the work on site, collecting survey data, samples and photographs. This is then transferred back to the consultancy for processing into the final report.

Once approved within TEAMS, the data is automatically transferred to the Enterprise server where it is stored and made available to Enterprise users.

Historic Site Data

Where historic data already exists for the site within TEAMS Enterprise, and a chosen consultancy is instructed by the Enterprise user to reinspect the site and update the asbestos register. The appointment is set-up by the consultancy and the survey appointment is sent to the surveyor in the field as normal. At this point, the surveyors tablet pulls data directly from the TEAMS Enterprise server. The survey is completed on site utilising this existing data, and any new or updated data added by the Enterprise user.

This is transferred as normal to the consultancy for processing and approval.

Upon approval, the data is returned to the Enterprise server automatically and in turn all of the downloaded data is updated based on this latest visit.

Large scale data capabilities

TEAMS Enterprise is built upon the same data structure that powers TEAMS itself. This includes the ability to safely store, audit and account for the largest asbestos data sets that end users need to manage.

Functions, such as built in data version control, document control and access controls to this data are fully integrated and available within the underlying data storage system, with TEAMS and TEAMS Enterprise solutions.

3rd Party Integration

Where a full data exchange it not required and systems simply need to hand over to TEAMS Enterprise, smart links can be created and embedded into your applications which direct the user into the TEAMS Enterprise portal system at the correct level (whether that be site, room or item) for them to gain access to the information they require. This method allows for very little coding, but achieves instant results in terms of delivering data to the end user.

TEAMS Legionella: A look at the key features of legionella risk assessments and monitoring

by Simon Wetherell - 10 September 2020

The TEAMS Legionella system has been designed with time saving and innovative tools which enables consultancies to carry out comprehensive legionella risk assessments and monitoring services for their clients. In this blog we will take an in-depth look at some of the key features that comprise the TEAMS legionella system

Management of water systems

A structured question and answer section, automatically triggers risks based on the responses given to the questions asked. Triggered risks are fully customisable including the corrective actions, risk ratings, frequencies, and priorities to suit the client and site being assessed.

Asset Identification

TEAMS breaks down assets into specific types and poses pre-defined, tailored questions when a given type of asset is identified onsite. Specific risks are then associated with the asset along with its location, reference number, and photographic evidence.

Each asset category comes complete with a comprehensive bank of automatic, risk triggering questions tied specifically to the given asset type identified. Risks are built up during the assessment of the asset and fully customisable throughout. Photo capture is also included at both asset and asset risk levels where appropriate.

Locating outlets and recording temperatures

Outlets are organised by location within TEAMS, with each location containing a number of predefined questions, designed to assess each new location. Once defined, each location can contain an unlimited number of outlets, with the ability to record temperatures against each outlet. Risks are triggered automatically, depending on the temperature recorded.

Real time onscreen risk assessment summary

The built-in overview facility brings together all the findings of the active job into one centralised screen for easy review when large or complex risk assessments are being undertaken.

Real time schedule

Forming the basis of the online logbook facility, the real time scheduler collates the various tasks and actions from the assessment, then applies the frequencies assigned to each task to plot the tasks into a planner style interface. Starting with one-off actions through to weekly, monthly and annual tasks, these jobs are then arranged in chronological order ready to be assigned to individuals who will manage the water system going forward.

Online site log book

TEAMS legionella also ties with in with the TEAMS portal. Allowing a consultancies clients to log in, view and interact with the data collected from site.

Onsite floor plan Designer

The onscreen floor plan designer allows onsite staff to quickly and easily create informative floor/building plans and layouts including adding annotation for sampling locations and references.

  • DCU Clearance
  • Leak Test
  • Personal Monitoring
  • Reassurance
  • Smoke Test
  • 4 Stage Clearance
  • Visual Inspection

Key Features of Air Testing

Run multiple air tests simultaneously

Onsite staff can quickly and easily switch between multiple air tests running simultaneously using the informative and specifically designed screens on TEAMS Air Monitoring.

Equipment traceability

Equipment tracking and traceability is a huge part of TEAMS and an important part of the onsite air testing experience. As a test is started onsite, the equipment list is presented onscreen to the user’s mobile unit with their own assigned equipment already pre-loaded. A few simple clicks assigns the specific kit to that active test are records it accordingly.

Calibration date reminders along with temperature and pressure at calibration for flow meters are just a few of the extra features of the equipment system.

Mobile floor plan designer

The onscreen floor plan designer allows onsite staff to quickly and easily create informative layouts including adding annotation for sampling locations and references.

Imports and exports for existing or client supplied plans is included along with tools to calculate enclosure areas and volumes.

Onsite data collection

Setting up pumps and collecting specific site information for sampling is performed on the TEAMS Air Monitoring screens. Any number of pumps can be set up on a test, and later revisited as the tests progress to add information and results. TEAMS Air Monitoring has full support for pooled air samples as well as integrated support for field media blanks (FMB).

Once a pump is added, information can then be entered against it during the progress of the test. Based on information entered, TEAMS Air Monitoring can assist and suggest with calculations including graticule areas to count, concentration, limit of quantification as well as the reported result. Dirty slide functions as well as sample specific temperatures can also be used.

Multiple photo capture with captions

The ability to take photographic evidence during air monitoring tests is now an important requirement for most consultancies and TEAMS Air Monitoring gives you this ability out of the box. The ability to add captions to their photos is also available, along with the ability to pre-load captions onto photo placeholders to offer guidance to the analysts’ onsite.

Signature capture

Onscreen capture of analyst as well as site supervisor signatures is a fully integrated part of TEAMS Air Monitoring and is used throughout the air testing experience. All signatures are both time and date stamped for extra integrity and tracking purposes.

Onsite air test certificate generation

Once tests have been performed and signatures captured, the mobile system collates all the data and using individually created, company bespoke templates, the mobile device produces a full PDF report onscreen within seconds. This is then available to print via a local printer or email directly from the mobile device or from the office once transferred.

Data transfer

TEAMS Air Monitoring includes an integrated data transfer service which not only sends completed air test reports back to the office, but also simultaneously downloads any new appointments for the analyst all at the click of a button.

Onsite. On time. Online. But do the benefits of offering a portal outweigh the cost?

by Oli King - 27 August 2020

Offering your clients a web portal to access their data can be a cost effective way of delivering reports and site data, as well as offering clients the opportunity to manage their sites more effectively.

Everything from asbestos surveys and air test certificates, risk assessments and monitoring reports, through to invoices and quotations can be published automatically via the portal as work and events progress through TEAMS. But how can this tool benefit your consultancy and clients? Below is a roundup of some of the key features and benefits of offering a portal.

Report Delivery

Where the TEAMS portal is available, TEAMS will deliver completed reports, legionella surveys and air test certificates, containing all of the assessment details directly to the client.

The alternative is to send clients their reports, air test certificates or legionella surveys manually, a potentially lengthy and time consuming process.

Contractor Access

External contractors can be given access to a client’s portal, with specific permissions set so they can only access the data relevant to the client’s site they are visiting.

Using the TEAMS portal, the contractor will be able to access the latest reports and ACM details for the specific location(s) they may be working in whilst onsite. This saves the contractor from having to rely on potentially outdated paper reports to identify exactly where, and what the ACM is.

Another advantage is that allowing the contractor to access the locations details whilst onsite saves the consultancy from having to action additional client requests, for the latest site reports to be sent to the contractor before they arrive onsite.

Compliance Overview

The TEAMS portal combines all of a client’s site data to provide an overview of the total number of sites that have been surveyed, how many are yet to be surveyed and the total number of sites that do not require a survey

The TEAMS portal also compiles site data to give an overview of the total number of risks, recommended actions and timescales, all of which provides an up-to-date synopsis for clients concerned with managing risk and compliance.

Management

Special access can be granted to certain staff members enabling them to monitor and update the priority risk assessment for identified asbestos objects inside their buildings and sites.Where room use or function changes over time, the client will be able to manage their risk by keeping the records up to date. Items that have been removed or encapsulated since the last survey was carried out, can also be recorded by your client using this function within the portal.

As adjustments are made, the risk scores and ratings are automatically updated to give an up to date representation of the item, room and building in question, allowing clients to manage and maintain the management plans for their sites and buildings.

In conclusion, the freedom and additional management functions the TEAMS portal offers clients can save a consultancy significant amounts of time processing requests and updates from clients, whilst empowering the client to better utilise this important data themselves, for their own benefit and that of their own staff.

Looking at How to Keep Track of and Tracing your Equipment

by Simon Wetherell - 18 August 2020

Every TEAMS package comes with the ability to track and trace equipment, whether you’re a consultancy or a laboratory, small, medium or large organisation, you can manage your equipment from within TEAMS. Flexible, built-in equipment lists remove the need and hassle of externally recording where and when calibrated equipment is used, and when it requires re-calibration.

TEAMS office

A dedicated Equipment section is housed within the Management section of TEAMS. In here you will be able to record all of your pieces of equipment. Within the equipment section there is an extensive list of all different types of equipment.

To record a piece of equipment, you just need to select the relevant equipment type, such as lab microscope, full face respirator mask, dust analyser etc. and you will be presented with a form to complete.

In the form you can record details such as the member of staff it is assigned to, the branch or office it is kept at, as well as any reference or serial numbers. You will also be able to set dates for tests and checks. Alongside this, you can also input dates for checks and tests to be carried out, such as PAT tests, when service or calibration checks are due or when in-house tests will be due to be carried out, as well as set how often these need to take place.

Once entered, the system will monitor the frequency of the checks, and test due dates before issuing notifications that a piece of equipment is due, or overdue for a test/check.

TEAMS mobile apps

When onsite, the equipment list is presented on the user’s mobile unit, with their own assigned equipment already pre-loaded. Users have the option to select the equipment that is being used for that specific job. Once selected, the user has the option to carry out a check of the equipment, and record any faults or defects, which in turn, is fed back to the office once the job is completed.

Any available equipment that hasn’t been assigned to an individual, can also be selected before a job is started, and the user has the same option of undertaking a check of the equipment selected, and recording any potential faults or defects.

Built-in calibration date checks warn and inform surveyors and air testers if equipment is due or overdue re-calibration, which ensures reliable equipment is used at all times.

A look under the microscope: Bulk and Stand-Alone Sample Analysis.

by Oli King - 11 August 2020

TEAMS supports a fully functional lab system, capable of processing samples collected by your own surveyors, as well as stand-alone sample jobs that are generated from third parties, or from surveys that have not been undertaken using the mobile TEAMS system.

Bulk Sample Analysis

Samples that are collected as part of an asbestos survey, are automatically assigned the corresponding site references and notes, once the surveyor transfers the survey from the mobile TEAMS system, TEAMS will automatically set the job up, in the Outstanding Sample Reports section, ready to receive the results

Stand-alone Sample Analysis

Stand-alone analysis jobs are required when the samples are supplied directly by a third party or a consultancy, where an asbestos survey has been carried out without using the mobile TEAMS system.

When the samples are received at the laboratory, a new stand-alone sample job will need to be created within TEAMS. The number of samples, sample descriptions and any site references will need to be entered into TEAMS, which can be done by simply filling out a spreadsheet template, before the samples can be checked in.

Once complete, the job will appear in the Outstanding Sample Reports section as normal, ready to be analysed.

For any samples received via Sample Exchange, when the samples have been received, laboratory users will be able to download the job itself from Sample Exchange. This will contain all of the relevant sample details collected during the survey, and once checked in, the results can be analysed as normal.

Recording observations

When the time comes to carry out sample analysis, the TEAMS system will automatically generate the appropriate number of Sample Analysis sheets, based on the number of samples for each individual job. The TEAMS analysis software itself is compatible with either a touchscreen or with a mouse, lab technicians can use TEAMS to track and record sample observations as they perform the sample analysis in the lab.

As each individual sample observation is selected onscreen, TEAMS builds up and finally suggests a suspected fibre type which the technician can choose to agree with, override, or discard the analysis. This in turn saves the current set of observations and presents a new screen to the technician ready to begin again.

Multiple fibre observations can be stored against individual samples and once an overall result has been established, this result is in turn, automatically saved against the sample.

Final approval and Sample QC

To complement the TEAMS sample analysis system, the built in sample QC function allows you to easily monitor, perform and review sample QC checks. Once the samples have been analysed, the results are automatically stored against the samples along with the technician who performed the analysis, the sample classification if required, and any appropriate notes recorded during the analysis.

The QC overview screen has been designed to be the central hub where all information can be viewed at a glance to give users an overview of the labs workload.

Commonly requested information has been grouped together, and allows the user to quickly and accurately find when and where sample QC has taken place and needs to take place. This can be done for individual lab technicians or for the whole lab team collectively.

Alongside the overview information, a detailed log of all samples analysed on a given day is shown along with the individual technician's automatic points tally for all samples analysed. This allows you to see at a glance their progress as well as cherry pick samples to be quality checked.

Before the bulk sample analysis report can be produced, the results must be approved by the approving officer. Once approved, the signature of the approver is applied to the report and time stamped.

Once the approval process is completed, the report is moved automatically to the completed sample reports section. All reports can be generated again at any point by simply clicking the PDF icon next to the completed report.

TEAMS Sample Exchange enables consultancies and labs to connect and engage like no other platform.

by Simon Wetherell - 03 August 2020

TEAMS Sample Exchange, enables consultancies to send their samples collected during a survey to a lab to carry out the sample analysis process.

Consultancies can contact any of the TEAMS Sample Exchange enabled labs, and come to an agreement to carry out the sample analysis.

Once a survey has been completed, any samples collected are sent to the lab as normal. When the physical samples arrive at the lab, a stand-alone report will need to be created within the ‘Samples’ section.

From here the corresponding sample data collected during the survey is then "checked in", and all associated job and sample data will be downloaded from TEAMS Sample Exchange. The sample data will then appear automatically in the TEAMS lab screens, ready for analysis.

Once the normal TEAMS sample analysis process is complete, TEAMS Sample Exchange automatically collects the results, classifications and PDF bulk reports and delivers them back to the consultancy that carried out the survey electronically. The results require no admin involvement, and will update the reports and findings automatically.

The consultancy can then carry on with the report generation process as normal.

TEAMS Sample Exchange FAQs

Who benefits from this?

The laboratory: The receiving lab has no admin involved in setting up the samples for analysis, and no admin involved when issuing the sample certificate afterwards.

The consultancy: The sending consultancy has no admin involved in getting their results and PDFs back into their system once the lab has completed the work.

What about client specific material descriptions?

If there are any specific requirements for material descriptions (classifications) in place, TEAMS Sample Exchange will automatically cater for these.

When the lab performing the analysis indicates the type of material, a second dropdown list will appear displaying a list of client specific material descriptions from the original consultant. This is automatically drawn from the original consultant when the sample results are sent to the consultancy.

The labs own material description opinion is still shown on the certificate, but the consultant receiving the data back from the lab with also receive material descriptions they are familiar with also.

How quickly can I expect my sample results back?

Once the lab has finished analysing the samples, the results will be sent to your TEAMS system directly. You can expect to find your results in your TEAMS system in as little as 15 minutes after the lab has approved them.

Connecting real world items to live asbestos and legionella data via QR codes

by Oli King - 15 May 2020

Making asbestos and legionella data more accessible is a big deal for consultancies, and TEAMS QR codes aims to provide users with further tools to bridge this gap.

The process of creating QR codes is extremely straightforward and they can be added to existing or new surveys as well.

During a survey, each item is automatically assigned a unique reference number, and while the report is being generated the TEAMS system automatically creates a corresponding QR code for each reference number.

The QR codes can then be generated as part of the report, and in turn, printed off and placed within the building to denote a particular ACM, water system asset or outlet. When future surveys are carried out at the site, the QR codes can be scanned, and the TEAMS system will display the data for the relevant ACM or water systems asset that the QR code has been placed against.

TEAMS Enterprise

by Simon Wetherell - 15 April 2020

We understood that there were a lot of enterprise class clients that work with different consultancies, and would benefit from a management system that housed all of their reports and site data in one place. As a result TEAMS Enterprise was born, a platform that offers an infinitely scalable asbestos management solution for end users powered by the largest connected network of independent asbestos consultancies up and down the UK, and gives you more control over data.

With the Enterprise platform, surveying consultancies can now request survey data directly from your TEAMS Enterprise server, download this latest data for a site to their tablets, and once the survey has been completed and approved by the consultancy, the updated survey data and latest survey PDF is returned back to TEAMS Enterprise automatically.

All this and not a single export CSV file in sight!

TEAMS has a very long history of working with partners to share data between different systems, and with TEAMS Enterprise, our tool kit has been extended to make this even easier.

We maintain a number of different APIs and web services that can allow your data to be pushed, pulled or polled from TEAMS Enterprise to your existing 3rd party systems as quickly and as easily as possible.

To find out more about our TEAMS Enterprise platform, or to book a remote demonstration, give us a call on 01395 411319 or email info@teams-software.co.uk

With this in mind, we are undertaking additional measures to ensure we safeguard the health of our team while keeping operations and services functioning as normal. Subsequently, we are now restricting access to our offices to all but non-essential access. If you have a prearranged meeting with us, we will be in touch to provide details either for a video conference or arrange an alternative meeting date.

Additionally, we are restricting our onsite visits to client premises. We will still perform onsite work but only when every other method of support is not possible.

We value our clients feedback!

by Oli King - 03 March 2020

The TEAMS platform is under constant development, updates are released at least once every month, and we positively encourage our clients to provide us with feedback and ideas for features they would like to see in the platform.

We know there are no better sources of feedback than our clients and the people using the TEAMS platform day in, day out, which is why we want to hear from you.

If you, or a colleague has an idea for a new feature, or something that would be of benefit to have on the platform, please get in touch with your manager, so they can feed the request through the appropriate channels.

Help and New Feature Requests

by Oli King - 03 February 2020

Among other important updates, the February update includes a brand new feature that will allow you to submit new feature and help requests directly from the TEAMS office system.

While navigating around the TEAMS office system, you will now see a blue ‘Need help?’ button, so if you are ever need to lodge a support request, but cannot access a phone, or don’t have time for a phone call, simply click the ‘Need Help’ button, and fill in the form that will appear with some brief details.

This will then be fired off to our Support team, who will pick up, and assist with your query.

For those with Manager level access, a ‘Request a feature’ button will also sit alongside the ‘Need help?’ button, when accessing the ‘Management’ section. If you have an idea, or a feature you would like to see added to the TEAMS system, either let your manager know, or if you are a manager, select the ‘Request a feature’ button, fill in the form that will appear and send it through.

This will arrive with our new features team, who will get in touch to go through your suggestion.

Dynamic Training Matrix Now Available

by Simon Wetherell - 24 October 2019

With the most recent update, we are pleased to announce that a new Training Matrix is available within TEAMS. It has been designed to be completely dynamic, meaning that you control what training types you would like to manage. As a result, this isn't limited to just helping with Asbestos or Legionella training, you can add in any training type you like, such as "First aid", "Working at height" or even internal training processes.

These types have a duration for when they need refreshing, set by you. We are very pleased with this functionality and hope that it can help with managing training across companies as up till now, this seems to only be managed in spreadsheets, which is never ideal.

We look forward to seeing how everyone makes use of this and growing the functionality based on feedback we receive.

June update landing with new Legionella update

by Simon Wetherell - 26 June 2019

Legionella app update

The TEAMS Legionella app is getting some attention this month with updates and improvements. The main change is to do with triggered tasks and risks upon answering a question.

When a question is answered in such a way that will trigger a risk/task, a new screen will pop up that will list the risk/tasks that have been triggered. This is to give more control and awareness to the onsite staff over what is being inputted into the system at the point that it is triggered.

The original screen is currently what the field staff would see when a risk/task is triggered, by clicking proceed it added the risk/tasks into the system, clicking cancel it did not

The new screen is what the field staff will see once the app update has been applied. The updated screen will now provide the risk description and has the options to pick which of the risks you want/do not want added. The default will place a tick next to all risks/tasks and as such will behaviour as the current version does.

by Simon Wetherell - 29 May 2019

We are pleased to welcome onboard two new members of staff into the TEAMS family. These new personnel will look to add additional support to the existing team and in turn allow us to maintain our levels of support and assistance to clients.

Due to continued and ongoing success of TEAMS, we continually monitor our staffing levels to ensure all clients, new and existing, get the level of service they expect from us and these latest additions to the team are testament to this.

We wish them all the success in the world and look forward to welcoming them to the team in the coming weeks.

New integrated support request system now available for all clients

by Simon Wetherell - 17 May 2019

We are big fans of emails. In this day and age, it would be almost impossible to run a business without them. Whether it be communicating with colleagues, placing orders with suppliers or following up with clients, they are a vital part of today's communication. We know your inbox can be a busy place, so in an effort to reduce the traffic coming in and out of it, we have built a new support request system directly into TEAMS to handle the communications from you to us.

This purpose built facility is easy to use, fast and convenient. Simply pop in the details of the support request you have and hit send.

Work is already underway to extend this facility to give you even more traceability of support requests that are being send, alerts for when requests are complete as well as statistics. All of this and not a single email in your inbox!

Other updates this month

Numerous other updates, tweaks and enhancements have been rolled out this month including;

Additional filters on people picker controls to allow the larger consultancies with numerous employees to find people faster.
Updated the auto-email on approval functionality so it updates to the status of the job.
Tweaked office end Survey Editor now displays more informative text regarding PA and Management options.
Add filter to the Add/Edit Portal Users screen to allow filtering of the restricted site list.

…plus many more. Please see the 'News' feature on the TEAMS landing screen for the full list of updates this month.

Legionella app updates

We are pleased to announce a new update to the TEAMS Legionella app for both iOS and Android devices. Below is a sneak peek of what's included;

New utlet question functionality has been added.
New outlet replication functionality has been added.
New option available to turn on that no longer prompts the user whether they want to create the triggered risk, and the system will automatically create the task without prompt.
New option to have multiple tabs of questions on assets for better organisation of questions.
Added customer sign off functionality from the asbestos surveying and air testing apps.
Under the hood improvements to device licensing.
Better navigation controls so you can jump between Locations on a site faster.
Other general updates and improvements.

Latest TEAMS update rolls out with new tools and improvements.

by Simon Wetherell - 05 April 2019

This month's update focuses heavily on the continued feedback from clients, requests from field staff and enhancements that we here at TEAMS have been working on ourselves for you.

Key features and improvements to look out for this month include;

A new service status facility that is designed to keep clients up to date with internal functions and faculties that they rely on each day within the TEAMS.
A new system preferences area has been added to the Management section to house a series of new user configurations that have been requested and will roll out over the coming months. Details of these configurations can be found within the section itself and more will be added over time.
Adjustments and ongoing improvements to both the office end Survey Editor and Legionella Editor facilities have been rolled out in this release, making both tools more powerful for when changes or modifications are required to the data back in the office once the field work has been completed at site.
Our ever populate Sage Integration has had a tweak with regards the transfer of notes data into Sage once invoices are created in TEAMS. Sage integrated clients should see the 'News' feature within TEAMS itself for more specific information on this update.
More information relating to client order numbers has been made available to the Not-Yet-Scheduled section of the Appointment system to improve visibility of this data and further assist schedulers with their work.
Further enhancements have been made to the Reinspection data picker when booking survey reinspection jobs. These improvements are geared around making it easier to select and work with large amount of data that is due to be reinspected using only a few clicks.

Along with the above, a number of other useful and important bug fixes have been released in this update based on the latest set of feedback from clients who generously work with our support and development teams to continually improve TEAMS for all clients. Details of the specific fixes can be found in the 'News' feature within TEAMS itself. We would like to thank all these clients who have provided feedback to us and in turn help us with this continuous improvement programme.

November update

by Simon Wetherell - 12 November 2018

Important Reinspection Changes in November surveying app update

For existing users of the TEAMS Surveying 2.0 app for iOS and Android, this month’s app update brings with it enhancements to the reinspection system, designed to give better visibility of the existing items at the site, as well as increased speed while working with this existing data they download for the site.

Any downloaded data will now appear within the normal screens of the surveying system but in a ‘ghosted’ state. Positive building, floors and rooms will appear with red text to make it very easy for the surveyor to see where ACMs were identified previously.

Simply tapping the building, the floor or the room will then add this area to the new survey and allow the surveyor to add in previous items in these areas or add new inspections.

Shortcuts when adding the rooms in will also allow the surveyor to quickly and easily fill a room with all the previously identified items ready to inspect and update accordingly.

NEW! Back office editing of your mobile floorplans – directly in TEAMS using just your browser.

For as long as TEAMS have provided our mobile floorplan designer, consultancies have asked for the same tools to be made available at the office to edit the floorplans post survey.

Thanks to advances in browser technology, we are happy to announce that the floorplan designer from your favourite mobileTEAMS 2.0 app is now available in the office suite at report production stage.

This means plans that have been created on the tablets in the field can now be fully manipulated directly within TEAMS itself using the same set of tools that the surveyors used themselves. Drag and drop elements around, alter text, reposition doors and so much more, all from within your browser, in TEAMS itself.

The new office based editor is also 100% compatible with our auto-colour tools (item marker and area marker) which change the colour of your text labels and shade in the areas of your plan based on the sample results – completely automatically.

September Update

by Simon Wetherell - 18 September 2018

Project system updates

The project system within TEAMS is a very powerful and versatile tool for keeping track of large scale surveying and air monitoring works from all in one place. It also gives you powerful filter capabilities from almost every section of the system.

Work is currently in progress to extend the tracking facilities to other bookable services, and part of this work looks to move the current project and sub project tabs (and associated grids) into a new, single grid covering both from one screen.

User preferences

We receive a lot of requests from clients for features, but one request that always seems to get pushed down the queue is the ability to change the background within the system.

This ability has finally now made the cut and can be found in a new user preferences section within the member centre control on the main landing page.

No doubt more user preferences (along with more wallpaper options) will follow in the coming months.

New and Improved site import/update tool preview

The ability to bulk upload sites into the system has been a feature for longer than we can remember, but bulk updating these sites is something that has not really been addressed until now.

A preview of the new and improved version of the site import facility has been released which not only allows you to import sites as before, but also export existing sites from the system, modify them in your favourite spreadsheet application, and then upload the list back in again to bulk update the sites in one hit.

More improvements to the new report content facility

A preview of the new report content tool was released a few months back and since we have received lots of useful feedback about it from clients. Based on this feedback, a number of improvements have now been made and included in the September update.

The new report content tool will shortly be replacing the existing report content tool so be sure to give it a go if you have not already.

Working with plans onsite - floorplan designer upgrades

by Simon Wetherell - 15 August 2018

Recent upgrades to the integrated TEAMS mobile floorplan designer (available in surveying, air monitoring and legionella apps) allows field staff now to not only import existing floorplans, but now also to resize these and place them in different locations on the canvas.

Once now placed, the field staff are free to annotate the imported plans with text, images, symbols and other items within the floorplan designer.

Based on the feedback from field staff who have used these new resize and placing tools with imported plans, they feel this gives them much more freedom and flexibility when working with pre-supplied plans.

A warm welcome to all new clients, near and far

by Simon Wetherell - 11 June 2018

Since the start of 2018, we have been busy working closely with a host of new clients both here in the UK as well as further afield in New Zealand, and more recently in Australia.

For the clients that are now up and running and operational, you now have the tools at your disposal to better manage and optimise your operations and for many, to take these now to the next level.

For clients that are just beginning or part way through their implementation process, you can be confident that we are as eager was you are to get you live and operational with TEAMS.

To everyone who has joined the TEAMS community this year, may we wish a warm welcome to you all!
