with TEAMS software

Asbestos surveys within TEAMS are dealt with in a number of different ways depending on the options that are required for the particular job in question. This includes the major different survey types as well as individual options for material assessment, priority assessment and extended management options. As well as these, surveys break down into two further distinct types - standard surveys and reinspection surveys.

TEAMSSTANDARD SURVEY

A standard survey is performed when a new asbestos survey is required for a given site.

This enables the surveyor to digitally capture the asbestos survey information onsite via a smart mobile device powered by mobileTEAMS (the onsite, mobile arm of TEAMS).

TEAMSREINSPECTION SURVEY

A reinspection survey within TEAMS allows an existing site previously surveyed within TEAMS to be reinspected.

This enables the previous survey data to be transferred back to the surveyor onsite and amended and updated as required with any changes that may have occurred since the last inspection.


The above shows the process of how data is transferred from the office TEAMS server to the mobileTEAMS units once an appointment is booked and confirmed, and then transferred back once the work is completed.

TEAMSAN EXAMPLE ASBESTOS SURVEYING JOB USING TEAMS

  ACTION RESPONSE  
Client enquires about a possible asbestos survey of their premises. Staff add the client and site details to TEAMS and creates a new quotation. If a visit is required before the quote, a 'quote visit' is booked via APPOINTMENTS. Once the quote visit is complete, the staff selects the entry and creates the quote.  
  A pre-defined template is selected and the quote is quickly created for the client. The quote is generated as a PDF document ready to email.  
Client requests an asbestos survey of their premises. A client and site is selected (or added if new). The operator views the diary section in APPOINTMENTS to find a time when a surveyor is free. Information about the job is requested over the phone and entered against the appointment. The required survey type is selected along with a surveyor who is free at that time. The job is booked.

  Senior staff at this point are notified of the booking and confirm the appointment if all is ok. On confirming the job, Outlook calendar appointments are emailed directly to the surveyor.  
The surveyor receives email with job information. Before the surveyor leaves for site, they connect their mobileTEAMS device to the internet and click the Data Transfer button.

  The data transfer service uploads all completed jobs from the surveyors mobile device to the company's TEAMS server while also downloading all new job information for that day. Once this transfer is complete the surveyor leaves for site.  
  When the surveyor arrives onsite, they select the job they want to start and all the job information is displayed on their screen. They then complete the required risk assessment on-screen in mobileTEAMS and begin the survey. Once the survey is complete, the surveyor moves to the next site, selects the site address and job number and starts the next job.

Onsite survey is complete. Once the surveyor has completed their day's work, they connect their mobileTEAMS device to the internet and perform a data transfer. The survey information, results, signatures and all related job information are transferred up to the company's TEAMS server, and any new jobs for the following day are downloaded simultaneously at the click of one button.  
Samples analysed Once the samples are analysed, the results are entered directly into TEAMS.  
  Descriptions of samples along with any notes are pulled from the information captured during the site survey.
 
  Once the results have been approved, a bulk sample report is automatically produced and digitally signed by the approver.  
Additional report content processed. With the results approved, a full asbestos register is calculated and produced with the click of a button. Photos are requested by the system based on samples results along with floor plans of the site.

  All this information is processed and generated into a formatted PDF report based on the report templates stored on the system.  
 

Additionally, risk assessment reports can be generated at the office based on the results received from site.

 
Report complete. Final approval of the report content finalizes the report and completes report generation.  
  Once the report is approved, the job is moved automatically into invoicing ready for billing.  
  Costs are calculated based on what was done during the job, number of samples taken, pumps used along with any client discounts applied.  
Invoice generated. Once complete, the invoice is generated as a PDF ready for emailing or printing.
